Privacy policy

Effective October 6, 2026. This policy replaces all earlier versions.

This policy explains how Stock Perfect handles personal information. It covers the Stock Perfect app for Shopify (the "app") and this website, stockperfect.ai (the "site").

1. Who we are

Stock Perfect is operated by AI Efficiencies LLC ("we", "us"). For anything about privacy, including requests to access or delete data, email support@stockperfect.ai.

For merchants who install the app, we decide how account and store data is used to run the service, so we are the controller of that data. For personal information about a merchant's own customers that reaches us through Shopify, we act on the merchant's behalf as a processor or service provider. The merchant is responsible for their own privacy notice to their customers.

2. This website

  • No cookies, analytics or advertising trackers. The site sets no cookies and loads no analytics, advertising or third-party fonts or scripts.
  • Server logs. Like any web server, our host records standard request data (IP address, browser user agent, the page requested and the time) to run and secure the site. These logs are kept according to our hosting provider's retention settings.
  • Email. If you email us, we receive your email address and whatever you include in your message, and we use it to reply.

3. Data the app collects

When a merchant installs the app, Shopify gives us access to the store data the app's permissions allow. We collect:

  • Store and account data: the store's Shopify domain and ID, the store owner's name and email address as provided by Shopify, the access token Shopify issues to the app, installation dates, and plan and billing status.
  • Catalog and inventory data: products, variants, SKUs, vendors, prices, unit costs and inventory quantities.
  • Order data: order IDs, status, timestamps and line items (product, quantity and price). The order records we keep do not include customer names, email addresses or addresses.
  • Data you give us: contact details you enter in the app or send us by email (name, email address and, if you provide it, phone number), and vendor and product settings such as lead times, minimum order quantities and notes, and the purchase orders you create.
  • Technical data: cookies and browser storage the app needs to work (see section 8), and server logs as described in section 2.

Customer information in Shopify notifications. Shopify sends the app notifications (webhooks) when orders change. These notifications can contain the ordering customer's name, email and address. We use them only to update the order records described above. A notification is deleted within 7 days of being processed; one that fails processing is kept for up to 30 days so it can be retried and investigated. Application logs can contain the content of these notifications, including the customer details in Shopify privacy requests, and merchant contact details. Logs are kept for our hosting provider's log retention period.

Billing is handled by Shopify. We never receive card or bank details.

4. How we use it

  • To provide the app: calculate sales velocity and reorder suggestions, build purchase orders, and show margins.
  • To change product prices in your store when you ask the app to.
  • To manage your subscription through Shopify billing.
  • To answer support requests and send messages about your account or the service.
  • To keep the service secure, investigate errors and abuse, and meet legal obligations.

We do not sell personal information, share it for cross-context behavioural advertising, or use it to train AI models. The app's AI features are optional and send store data to an AI provider only after you turn them on (see section 5).

Legal bases (EU and UK). We process merchant data to perform our contract with you; for our legitimate interests in securing, supporting and improving the service; and where the law requires it. We process customer data only on the merchant's instructions.

5. AI features

Stock Perfect's AI features are optional and off by default. Nothing from your store is sent to an AI provider until someone who uses the app for your store turns them on in Settings > AI, where the AI data notice is shown. You can turn them off there at any time.

When AI features are on, Stock Perfect sends the data a feature needs to Anthropic, PBC (United States), which provides the Claude AI models. That data can include:

  • product and variant details: titles, SKUs, selling prices and unit costs;
  • inventory levels, including the names of your locations;
  • sales and demand history for each product and variant, such as units sold per day, week or month and the date of the last sale;
  • the results of Stock Perfect's forecasting calculation, such as reorder points, suggested order quantities, order-by dates, lead times, projected stock-out dates and forecast accuracy, and forecast adjustments you have confirmed;
  • figures the app works out from these, such as order values, the value of excess stock and estimated sales lost to a stock-out, in your store's currency;
  • purchase order and supplier details, such as purchase order numbers, statuses and dates, line items, quantities and costs, supplier names, payment terms, lead times and notes;
  • what you type into an AI feature, such as a question, a note about a promotion or a supplier delay, or a note for a supplier email, and the earlier questions and answers in the same conversation.

The AI features do not read customer records. We do not send customer names, email addresses, postal addresses, or Shopify order numbers or IDs. Email addresses and phone numbers are removed automatically from text before it is sent. Other text you type, and text already in your catalog, supplier records and purchase orders (such as product titles and notes), is sent as written, so please don't put customers' personal information there.

We use this data only to provide the AI features you have turned on: explanations of recommendations, the morning briefing, answers to your questions, draft emails to suppliers, proposed forecast adjustments made from notes you type, and suggestions for slow-moving stock.

  • Under its commercial terms, Anthropic does not use data sent through its API to train its models without express permission. Stock Perfect has not given that permission.
  • Anthropic does not keep the content of standard requests by default. The nightly morning briefing uses Anthropic's Message Batches API, for which Anthropic keeps the requests and results for up to 29 days.
  • Anthropic may keep content for longer where the law requires it, or where its automated safety systems flag it (up to 2 years).
  • Stock Perfect does not use your store's data to train or develop AI models.

Turning AI features off stops new requests to Anthropic, including the morning briefing. It does not recall data Anthropic has already received; that data is kept only as described above.

Code, not AI, calculates every reorder quantity. AI explains and drafts. It can turn a note you type into a proposed forecast adjustment, which changes nothing until you confirm it. You decide what to order.

6. Who we share it with

We share data only with these service providers, and only so they can provide their service to us:

  • Shopify: the platform the app runs on, and app billing.
  • Railway: hosting for the app, its database and this site, in the United States.
  • Anthropic, PBC: AI features, only when you turn them on, in the United States (see section 5).
  • Google: Google Workspace for our email, and Google Sheets and Drive for purchase-order export. When you export a purchase order, the app creates a Google Sheet in Stock Perfect's Google account containing the vendor, products, SKUs, stock levels, suggested quantities, prices and recent sales for that order. The sheet is shared only with the store email address Shopify gave us, and you decide who else to share it with. Sheets created before October 6, 2026 were shared so that anyone with the link could open and edit them; email us and we'll delete or restrict any of those you no longer need.

We may also disclose information if the law requires it, to protect our rights or users' safety, or as part of a merger or sale of the business, in which case this policy continues to apply to the transferred data.

7. How long we keep it

  • Individual orders and line items: deleted 90 days after the order date.
  • Sales totals, catalog, inventory and settings: kept while the app is installed.
  • AI features: your questions and the answers are deleted 30 days after the last message in a conversation. Morning briefings, explanations, slow-stock suggestions and the forecast adjustments you confirm are kept while the app is installed. We keep a record of each AI request (the feature, model, size, cost and outcome, but not its text) while the app is installed.
  • Shopify notifications: deleted within 7 days of processing; failed ones within 30 days.
  • Purchase-order sheets: kept until you ask us to delete them.
  • After you uninstall: Shopify asks us to erase a store's data 48 hours after uninstall. We delete the store's data, including purchase-order sheets, within 30 days of that request. You can ask us to delete it sooner by emailing support@stockperfect.ai. We keep a minimal record (the store domain, install and uninstall dates, and whether a free trial was used) so that a store can't restart a free trial by reinstalling.
  • Customer requests: when Shopify forwards a customer's request to see or erase their data, we respond within 30 days.
  • Support emails: kept as long as needed to handle the request and keep reasonable business records.

8. Cookies in the app

The app uses first-party cookies and browser storage only to keep you signed in, remember which store you're working in, and store preferences such as language and pinned vendors. It uses no advertising or analytics cookies.

9. Your rights

Depending on where you live, you may have the right to access, correct, delete or export your personal information, to object to or restrict certain processing, and to withdraw consent. Residents of the EU, the UK and California, among others, have these rights by law. Email support@stockperfect.ai to make a request. We'll respond within 30 days and may need to confirm your identity first. We will not treat you differently for exercising your rights.

If you are a customer of a store that uses Stock Perfect, contact that store first; they control your data and we will help them respond. You can also email us directly.

In the EU or UK, you can also complain to your local data protection authority.

10. International transfers

We and our service providers process data in the United States. If you are in the EU, UK or Switzerland, your data is transferred to and processed in the United States.

11. Security

Data between your browser and the app or this site is encrypted with HTTPS. No method of storage or transmission is completely secure. If a breach affects your personal information, we will notify you and the authorities as the law requires.

12. Children

The app and site are for businesses and are not directed at children under 16. We do not knowingly collect their personal information.

13. Changes

We'll post any changes here and update the effective date. If a change materially affects how we use merchants' data, we'll notify merchants by email before it takes effect.
